A major issue in every organization is how to implement and hardwire change. One reason for this issue is gathering the staff together, discussing the old process, discussing the new process changes and ensuring that the new process is followed.
One section of your gemba board should be labeled process change alerts. Any process changes should be posted and discussed as part of the daily gemba walk. The change alert should be posted and discussed for a week to ensure that the new processes understood and being followed. In this way changes are hardwired and staff are being held accountable to ensure that the process changes are implemented.
The header of the process change alert section should show what the process is and who initiated the change. The date the change initiated should be indicated as well as the date that the change alert was posted. There should also be an indication of how long the change alert should be posted. If there was a revision to a previous process change that should also be indicated in the header section
The format of this section varies from organization to organization. There are certain elements that should be included in this section. There should be a description, or process map of the issue prior to the change. There should be a description or process map of what the process should be. Below these descriptions there should be in narrative of the change and the new process. As part of this section there should be a sign off section where each staff member in the unit can indicate that they understand the change and what the expectations are in terms of initiating the change.
